That's exactly what happened: one person fell victim to a phishing attack in which a fraudster posing as the CEO managed to obtain $2,000 under the pretext of a corporate gift. Attacks like this work because they exploit authority and urgency, not a technical flaw. The employee wasn't careless — they responded to what looked like a legitimate request from their boss.
In addition, more elaborate fraud attempts, such as spoofing the sender's email address, were also detected. This kind of technique highlights potential gaps in a company's internal processes: without email authentication mechanisms in place, it's easy for a fraudulent message to pass as a legitimate one, even to an attentive employee.
The solution: authentication and filtering, not just training
This is where we proposed implementing Proofpoint, an external tool offering a complete email security solution that integrates with the Microsoft email platform. The goal wasn't to replace employee vigilance, but to drastically reduce the number of risky judgment calls they had to make every day.
Using technologies such as DKIM, SPF, and DMARC, along with advanced filtering and URL defense features, we were able to effectively detect and block threats before they reached users' inboxes. These protocols verify that an email genuinely comes from the domain it claims to represent, which cuts off spoofing attempts like the one detected at this client right at the source. URL defense, for its part, analyzes links at the moment they're clicked, not just on arrival, which also blocks threats designed to activate later.
By working closely with our partner, we customized the solution to specifically address the company's unique challenges, rather than applying a generic configuration. That tailoring step is often what separates an underused tool from a solution that delivers real results.
The results: less mental load for the whole team
The results of implementing the Proofpoint solution were dramatic. By going from 400 phishing emails detected per day down to 0 reaching inboxes, we improved the company's email security posture, reduced the risk of cyberattacks, and cut the time users had to spend sorting through fraudulent emails. That last point matters more than it might seem: every suspicious email an employee has to evaluate is a distraction, a source of doubt, and potentially a mistake waiting to happen.
